Booking, Cancellation, and Refund Policy

Online Interview Coaching for Doctors

1. Service Description

All coaching sessions are delivered online and are time-specific, personalised professional coaching services. When a session is booked, the time is reserved exclusively for the individual doctor and cannot usually be reallocated at short notice.

2. Cancellation and Refund Policy

Cancellations must be made by the client via vcita or in writing by email. The following refund policy applies:

  • More than 48 hours before the scheduled session
    → 100% refund
  • Between 24 and 48 hours before the scheduled session
    → 50% refund
  • Less than 24 hours before the scheduled session, or failure to attend
    → No refund

All time periods are calculated from the scheduled start time of the coaching session.

3. Cooling-Off Period (Consumer Contracts Regulations 2013)

Under the Consumer Contracts Regulations 2013, consumers normally have a 14-day cooling-off period for online purchases.

By booking a coaching session via this diary, you acknowledge and agree that:

  • The coaching service is scheduled to take place on a specific date and time, often within 14 days
  • You are requesting the service to be provided as booked
  • Once the relevant cancellation window has passed, you will lose your right to a full refund, even if the booking is within the 14-day cooling-off period

Any refund due during the cooling-off period will be calculated in accordance with the cancellation policy above, reflecting the time reserved and preparation undertaken.

4. Rescheduling

Requests to reschedule are treated as cancellations and rebookings and are therefore subject to the same time thresholds and refund rules, unless otherwise agreed in writing at the coach’s discretion.

5. Exceptional Circumstances

Refunds or credits outside this policy are not automatic. Exceptional circumstances (e.g. sudden serious illness) may be considered at discretion but do not create an ongoing entitlement or precedent.

6. Acceptance of Terms

By completing a booking and payment through this online diary, you confirm that you:

  • Have read and understood this Booking, Cancellation, and Refund Policy
  • Agree to the refund terms outlined above
  • Consent to the immediate scheduling of a time-specific online coaching service
